What are workplace pensions?

Also known as company pensions, work-based pensions, and occupational pensions, workplace pensions are a type of pension scheme organised by an employer.

By law, all qualifying UK employers are required to offer a pension scheme. Assuming a staff member does not opt out of your scheme, both your employee and your company must make contributions to your staff member’s pension pot each time payroll is run.


How to join a workplace pension scheme – employees

Automatic enrolment into your company’s pension scheme applies if an employee meets the following criteria:

  • they predominantly work in the UK
  • they’re aged between 22-67
  • they earn at £10,000 or more per year
  • they’re classed as an employee

If a staff member is not legally entitled to automatic enrolment, they may still join your company’s pension scheme. 

However your company as the employer is not obliged to make contributions if your staff member earns less than the following amounts:

  • £118 in a week
  • £472 in four weeks
  • £512 in a month

To get an estimate of how much a workplace pension could be worth once an employee retires, there are many advice websites available online offering users a free workplace pensions calculator. The calculator combines the amount your staff member is likely to receive from their state pension together with funds accrued via their workplace pension.


Workplace pensions employers guide

If you operate a business in the UK and your company employs workers who are eligible to be enrolled in a pension scheme, you must:

  • make contributions to the pension scheme on time
  • pay at least the minimum amounts required
  • let employees opt out of the pension scheme when asked and repay any funds paid in
  • allow employees to re-join the pension scheme at least once every 12 months

When an employee is enrolled into a workplace pension scheme, you must notify them in writing making sure to include the following information:

  • the type of pension scheme
  • the name of the company running the pension scheme
  • how much you and they will be contributing
  • the date their pension scheme starts
  • how they can voluntarily leave the pension scheme
